IMPORTANT MEET INFORMATION - 2011 SC BB Championship

The SASA BB Championship Meet, being hosted at UIW this year, will be larger than UIW can accommodate spectator wise inside the Natatorium. Due to the building fire code, overall safety, general comfort, and by popular request, Streamline will be following a modified version of the successful protocol of last year's Central Junior Olympic Meet, the SASA Christmas Splash, and many other meets hosted around the nation. As this is a quite different setup than what is familiar to many South Texas parents and coaches, we need your support in promoting the benefits of this style meet and educating your parents on the procedures. We were often asked by folks who attended the Christmas Splash, why we did not have a tent at the B Champs. The answer was the tent cost almost $5,000.00 to rent and the B Champs was of a size where everyone fit inside the Natatorium. I think everyone likes the arrangement we will be using for the BB Champs so please spread the word.

We have a 4,000 square foot, heated tent, which will be set up in the parking lot adjacent to the natatorium. Each team will have designated areas in the tent and all spectator and team seating will be in the tent. Spectators and athletes should bring their own chairs. Blankets and/or towels can be used for the swimmers to spread out and rest or socialize inside the tent. This arrangement will give everyone ample room to be relaxed in between their races and should provide a comfortable experience for all. It also means that teams with late warm ups will not have to arrive early just to secure seating. Concessions and swim gear will be for sale in the tent.

Space can be reserved in the parking lot, for teams or parents wishing to bring RV's, provided that you notify me in advance of your intention.

There will be a dry erase board in the tent, where we will post the events currently swimming, so that everyone can keep track of the events. Coaches will need to prepare both their swimmers and parents in prior to the meet so that everyone will know how far in advance they need to plan to enter the natatorium for their pre-race warm-up.

All spectators should enter and exit via the stairwell on the east side of the natatorium, which is to your right upon entering the building. All swimmers will enter and exit the natatorium using the west side stair well on the office side of the pool.

Once inside the natatorium, there will be spectator "standing room only" on the East side and the South end of the pool. This will allow each spectator to have the best view of their swimmer's race. After their child swims, spectators should leave the pool deck to make room for the next race spectators.

The bleachers will be reserved for swimmers use only. Swimmers will be allowed to use the bleachers in the pool area for pre race warm up, immediately preceding their events and for their cool down after their race.

Coaches are asked not to bring their own chairs since seats will be provided for you. There will be tables along the east side of the pool like the 410 Block facility. A fantastic coaches' hospitality will be provided for you in the office.

Timing responsibility has been assigned for each team, based upon the number of swimmers attending the meet. A list of lane timer responsibility for all six sessions is included with this e-mail. Each team will need to provide two timers, unless only one is specified, for each lane they are assigned. Please determine your volunteers in advance of the meet. Should you have additional parents, beyond your responsibility, who prefer to time, please let us know and we will utilize those folks to cover any shortages we may encounter. We will not have the college kids available at this meet to fill timer shortfalls, as they will be attending their conference championships in Colorado. It is vitally important that you line up your timers in advance of the meet. If you see any issues with being able to provide the designated timers for the meet, please contact me no later than Noon, Wednesday, February 9th, with your specific concerns. If I do not hear from you then it will be assumed that you have all of the timing assignments covered.

Warm-up assignments are attached to this e-mail. On Friday there are two warm up sessions. For preliminaries on Saturday and Sunday there are three warm up sessions. Please note the Friday warm-ups will begin at 7:20 AM, which is twenty minutes later than the time shown in the Meet Information. All Finals warm-ups are open lanes.

The Psych Sheet is attached for the Central BB Champs. Please double check your entries. I did adjust about 20 seed times as faster times were found in SWIMS for each of these swims.

If you have any corrections or additions, please contact me no later than 9:00 PM, Tuesday, February 8th. After that time, I will consider the meet finalized.

Approximate time line for each prelim session is:

Friday - 8:30 to 11:15 AM
Saturday - 8:30 to 11:55 AM
Sunday - 8:30 to 11:40 AM (Longer if elections to swim the 1650 and the 10 & under 500 Free in the morning session)

Prepare your parents to be ready to return for finals. Looking at the number of entries in each event, by age group, many swimmers will swim in finals even if they finish prelims in last place. Only a few events have more than 16 swimmers entered in an age group.

Please make sure that your parents are familiar with the Scratch Rules and the penalties in place for failure to scratch. As the top qualifiers scratch, a swimmer not previously seeded to swim in finals may move into finals. ALL SWIMMERS, regardless of place of finish, are required to scratch if they do not want to swim in finals. Complete scratch rules are in the meet information.

As a reminder for the BB Championships, the Distance Events will be contested as Timed Finals and swum, fastest to slowest. The fastest eight (8) swimmers will compete ONLY in the Finals Session. Finals qualifying 1650 and ten and under 500 swimmers may elect to compete in the Preliminary or Finals session ONLY on Sunday. All swimmers are required to positive check in for the Distance Events.

With this in mind, please check the psych sheet. All 400 IM's will only swim in Finals. On Saturday's 500 Freestyle, Events 54, 56, 57, and 58 will only swim in Finals. For Sunday, distance swimmers may elect to swim in prelims or in finals. Event 81 has 7 swimmers, 82 has 5 swimmers, 83 has 5 swimmers and 84 has 4 swimmers. Please advise your parents and swimmers, if they are participating in one of the timed finals distance events, they may not be swimming that event in prelims. They will not swim in prelims IF THEY ARE IN THE TOP 8. If this is their only event of the day, the coach should check them in for the event in the morning session.
